The Receptionist is responsible for ensuring the customer experience when entering the facility and over the phone is a pleasant one. This position will provide administrative support to various areas within the shop.

Essential Functions:

  • Professionally and politely greet every customer in person and over the phone
  • Route calls to the appropriate team member or takes messages as required
  • Ensure all required forms and customer information is obtained the first time
  • Complete daily appointment follow-up(s) and confirmations/bookings
  • Confirm and make rental reservations with every vehicle as required
  • Document system of record each time customers are called and advised of vehicle repair status
  • Manage, resolve and monitor specific accounts receivables as requested
  • Adhere to repair processes
  • Prepare manual payments when requested by the Manager
  • Maintain accurate drop-off dates, delivery dates, and payment dates
  • Prepare daily pick-up and drop-off schedules and update the workshop manager
  • Manage and maintain required office supplies
  • Call customers as needed to ensure they are kept updated
  • Provide every customer with superior customer service throughout the process
  • Perform other duties as requested by management
  • Order and invoice for parts as and when required
